How to Run a One Person Business with a Team of AI Assistants (Free Guide)

If you run a business on your own, you already know the feeling. You’re the boss, the sales team, the admin office and the marketing department. One person, one diary, one inbox.

I know it because I live it. I’ve been a DJ in London since 2010 and I run my business solo. My job happens to be music, but the behind the scenes work is the same for every solopreneur and entrepreneur.

Behind the scenes, though, I don’t do it all alone any more. I work with a team of AI assistants. Today I’m sharing exactly how that works in a free guide called My AI Assistant Team.

Why a team, not one assistant

When I started, I asked one AI tool to help with everything. It got messy fast. Replies sounded off, details got mixed up, and I spent longer fixing things than doing them myself.

So I did what any boss would do. I gave each assistant a single job, like staff with job titles.

  • The Lead Finder researches venues, planners and companies that might book me, and checks they’re real.

  • The Pitch Writer drafts emails in my voice, using my real experience only.

  • The Checker reads every draft before I see it and flags anything wrong, untrue or off tone.

  • The Bookings Admin keeps track of dates, details and what each client still needs.

  • The Sales Chaser reminds me who needs a follow up.

  • The Social Media Assistant turns my gigs into post ideas and captions.

  • The Website Assistant suggests updates and drafts pages for my site.

And me? I’m the boss. I read it, change it, and I press Send myself. Every time.

A human checks everything

This is the part I care about most. AI is not running my business. It drafts, sorts and suggests. I decide.

Nothing an assistant writes goes out until I’ve read it. If it isn’t sure of a name, a date or an email address, it has to say so instead of guessing. No made up reviews, numbers or titles. If I haven’t done it, it doesn’t go in.

Clients book me because they trust me. That trust doesn’t get handed to a robot.

What’s inside the free guide

It’s short, practical and written the way I talk. Here’s what it covers:

  • Meet the team: the seven assistants I use and what each one does.

  • The rules I keep, plus a starter instruction you can paste into any assistant.

  • Enquiries: my routine for replying quickly while still sounding like a real person.

  • Quotes and follow ups: turning call notes into a clear quote, and a gentle follow up rhythm.

  • Admin: booking lists, job sheets and an inbox sort that never replies on its own.

  • Invoices: friendly wording for sending invoices and polite reminders.

  • Content: how one job becomes a week of post ideas.

  • Finding the right people: researching leads without guessing anyone’s details.

  • Start this week: your first hour, and a simple weekly routine.

Every section comes with copy and paste prompts. Fill in the brackets with your own details and you’re away.

Who it’s for

This guide is for one person businesses, solopreneurs and entrepreneurs. If you work for yourself, the jobs are the same: reply to people, send quotes, follow up, get paid, post content and keep on top of admin.

Photographers, cleaners, coaches, hairdressers, florists, consultants, makers and yes, DJs too. The prompts work for any service you sell. You don’t need to be techy either. If you can copy, paste and read a draft, you can start.

What it isn’t

I want to be honest here. This guide isn’t a promise that AI will win you clients or make you money. It’s how I use it, so you can try it your way.

It also isn’t legal, tax or financial advice. Tax, VAT and anything legal go to my accountant, not an assistant. And always check the privacy settings of any tool before you paste in client details.

Start small

You don’t need all seven assistants on day one. Start with one assistant and one job. Write your rules, give it your best enquiry reply, and try it on your last real enquiry. Read the draft, fix anything that isn’t true, and press Send yourself.

Then keep a note of what it gets wrong and add a line to its instructions to fix it. That’s honestly how mine got useful.

Want to go further?

The free guide shows you the team. If you want every assistant set up step by step, with the full instructions I use for each job, the Solo Business AI Playbook is £39.

Prefer to build it together? Book a 1:1 AI Setup Session and we’ll set up your first assistants for your business. Or, for support over a few weeks, apply for AI Mentoring. Places are limited, and you can compare both options here.

Now go and press Send on something.
